Responsibilities

*This position has authority over day to day operational decisions on all matters relating to Facilities Management and Support Services operation in Japan

*Preparing a master plan for owned and leased facilities; determining immediate and future needs for facilities; and developing long-term space allocation, utilization, and management plans.

*Managing all FM budgets in Japan keeping within budget, review forecast budgets and associated run rates to identify processes, systems or vendor relationships requiring re-engineering and/or process improvement.

*Building and maintaining excellent working relationships with all local Market Facilities and Support Services staff

*Supporting local facilities staff in all facets of Facilities Management, including Engineering, Space Planning, Support Services, Project Management and Financial Management

*Working with regional staff, space planning, engineering, projects, transaction, real estate and purchasing teams

*Reviewing all service and maintenance vendor contracts, to pinpoint areas of service improvement, or value adding

*Reviewing major facilities actual physical condition, liaising with Global Centres of Excellence, with a view to verifying statutory and company standards, and planning future Capital Expenditure improvements and maintenance plans

*Building relationships with Senior Management for all business units in Japan market, and advise on areas of Facility/Support Services improvement, efficient space utilization, and alternative office programs. Also build relationship with regional staff

*Supervising the design, project management, and evaluation of new facilities; developing the architectural terms of reference for bids; and establishing the standards and specifications for purchase of office furniture, office equipment and accessories

*Supervising construction management to select methods of project delivery; construction awards; and construction administration

Requirements

*Corporate management and leadership experience
*A comprehensive knowledge of Building Services Systems
*Knowledge of Space planning, CAFM and architectural standards
*Extensive knowledge of Support Services procedures
*Good financial understanding and awareness
*Good knowledge of dealing and managing business partners, contractors, vendors.
*Ability to manage good relationships with Senior business unit leaders & regional leaders
